What to take out of iClassPro

Do this part before you touch anything in Saltari. It is an hour of work and it is the difference between a clean import and a fortnight of chasing gaps.

Pull your student and family list

Names, dates of birth, guardian names, email addresses and phone numbers. Take the whole list including inactive families rather than filtering, because it is easier to leave somebody out later than to go back for them.

Pull your class and programme structure

Class names, days, times, levels, capacities and which programme each sits under. This is the part worth getting right first, because enrolments hang off it and a class named inconsistently will not match when the roster lands.

Note what is not in a file anywhere

Most clubs have things living in somebody head or a taped up note at reception: the family who pays fortnightly, the coach who takes Thursdays when the usual one is away, the two siblings who must be in the same group. Write those down now. They are the things that go wrong in week one.

Take a copy of your current balances

A statement or export of who owes what on the day you switch. Payment history does not come across, so this is the record you reconcile against while the old ledger closes out.

Check these six things after the import

Half an hour here saves a week of small surprises. Anything wrong at this point is still easy to fix, because nobody is depending on it yet.

  • Student counts per class match what you exported, class by class
  • Every family has at least one contactable guardian with an email address
  • Dates of birth came through in the right format, not swapped day for month
  • Class capacities are right, because that is what waitlists and makeups work against
  • Fee amounts and billing dates match what families are actually paying
  • The families who pay differently are set up the way they actually pay

Run both for a term

The safest way to move a club is not to move it all at once. Put new enrolments through Saltari while the current term finishes where it is. Your existing families notice nothing, your team learns the new system on low stakes work, and by the term break everything is loaded and checked.

The two months free are set at two months for this reason. It is long enough to cover a term change without paying for both systems at once, which is what usually pushes clubs into a rushed weekend cutover they regret.

What actually goes wrong

None of these are technical. They are the four things clubs tell us afterwards they would do differently.

Switching mid term

It can be done, but the tidiest moment is the start of a term when enrolments and billing already have a natural break. Switching in week five means reconciling a part billed term across two systems, which is work nobody enjoys.

Telling parents too late

Families need to know before they get an email from a system they have never heard of. A week of notice, a short note explaining they will re-enter a card once, and the reason you moved is usually enough. Silence is what generates the phone calls.

Trying to move everything in a weekend

The two months free exist so you do not have to. Run new enrolments through Saltari while the current term finishes where it is, and switch fully at the term break with everything already loaded and checked.

Assuming the old system can be cancelled straight away

Keep it until you have run a full billing cycle in Saltari and reconciled it. It costs one more month and it is the cheapest insurance in the whole exercise.

How long does a migration from iClassPro take?

Most clubs are live in about two weeks of actual work, and take a term to switch over fully. The two weeks are exporting, loading and checking. The term is running both side by side so nothing depends on a single weekend going perfectly.

What comes across and what does not?

Students, guardians and contact details come across, along with class and programme structures and the enrolment relationships once classes are mapped. Payment history, historical invoices and saved cards do not, so ledgers start fresh and parents re-enter a card once. Parent app branding, party packages and custom reports are recreated rather than imported.

Do parents have to do anything?

They re-enter a card once, and that is the only thing asked of them. Everything else they can do at their own pace: the schedule, invoices and forms are all there when they first sign in. Telling them a week ahead saves most of the questions.

When is the best time of year to switch?

The start of a term, because enrolments and billing already break there. Term one and term three tend to be easiest since intake is higher and you are setting classes up anyway. Avoid the fortnight before a competition or a concert, when nobody has attention to spare.

What if the import goes wrong?

Founding clubs have a fourteen day import guarantee, which means we get your roster in and correct within a fortnight or you are not charged. More practically: keep your old system running until you have completed and reconciled one full billing cycle in Saltari. Nothing is deleted anywhere, so the fallback is always to carry on where you were.
